Our Logbook transcription services allows pilots to seamlessly transition paper flight logs into an excel file or digital .csv that is uploadable to cloud based logbook applications such as as LogTen Pro. Simply photograph and send us your logbook pages, we transcribe the data from paper to digital, and send you back a completed excel logbook file or appropriately formatted .csv file ready to import into the online logbook service of your choice.
Our team, comprised of working commercial pilots and transcription specialists, know the aviation industry so there is no need to explain terminology. Our team members have detailed data-entry backgrounds and a keen eye for errors. Sometimes we even spot calculation issues our clients have missed, and will address those with you before your file is finalized.
Our simple turn-key process includes just three basic steps.
1. Photograph your logbook using our instructions below (about 1 hour of your time).
2. Share your logbook photos with us using Dropbox.
3. We send you back an excel or .csv file to upload to your chosen digital logbook format.
Photographing your logbook with a smartphone, iPad or a digital camera is the easiest and fastest way to get your logbook images to us. At the same time, it is the most important step you will take to guarantee accurate transcription. If you can easily read the data on the photos you take, then we should be able to also. This might feel a bit arduous however, once you have photographed your logbook pages, the even more time consuming task of transcribing the data is off your plate and on to ours.
Please take photos, in chronological order, of the 2-page spreads of your logbook or logbooks. The left and right side of each page should be in the same image frame, as shown below. If you can, please combine all images chronologically into a single PDF file; one PDF file per logbook. If you wish to send individual images, please make sure they are numbered chronologically.
Dropbox is the standard provider we use for clients to securely transfer their image files. If you aren’t already a Dropbox user, no worries you don't even need an account! We will take care of sending you a link to an empty folder, that you can simply drag and drop your photographed logbook file or files into. The shared folder is secure and can only be accessed by yourself and/or us. Unless otherwise requested, we delete all logbook photos after the transcription process is completed. We can maintain your digital logbook file for any updates, modifications or additions you might need in the future. If you prefer to use an alternate method for file transfer, please let us know.
Once the transcription is completed, we will send you an excel file or .csv in the format of the digital logbook of your choosing. We recommend LogTen as it is a solid product and once you create an account with them, you can send them the .csv file and they will take care of the upload for you. However, as long as the logbook provider you wish to use provides a .csv template for correctly formatting the data for upload, we can provide you with the appropriate file in the format of your choice.

Project set-up and file preparation - $100 + HST
Transcription per line/flight entry - $0.15 + HST (minimum of 500 lines)
Project example 1
Logbook with 500 flight entries or less (1-500 flight entries)
Cost: $100 set-up + $75 transcription = $175 + HST
Project example 2
Complete logbook of 92 pages and 10 lines per page (920 flight entries)
Cost: $100 set-up + $138 transcription = $238 + HST
Project example 3
Complete logbook of 99 pages and 14 lines per page (1386 flight entries)
Cost: $100 set-up + $207.90 transcription = $307.90 + HST
Our team transcribes all data required for import except for written remarks.
